Our goal is to offer you a rewarding volunteer experience. For the good of the Project Management Institute (“PMI”) and the Project Management Central Indiana Chapter (“PMICIC”), the project management profession, and our volunteer community, we ask each volunteer to review the information presented here. By accepting your electronic volunteer agreement through the Volunteer Engagement Platform (VEP), you acknowledge the expectations and guidelines to serve as a chapter volunteer.

What you’re agreeing to by accepting:

You’ll protect PMI/PMICIC non-public information and follow records practices.

You’ll act in PMICIC’s best interest - disclose and recuse when needed.

You acknowledge ordinary risks of volunteering.

You consent to the use of your name/photos in PMICIC communications (revocable in writing).

Required Volunteer Policies & Agreements

PMI Volunteer Confidentiality & Records Compliance Agreement

Volunteers must protect any non-public PMI or chapter information they encounter, including member data, financials, or internal discussions. Confidential information may not be shared, copied, or used for personal or outside benefit, and all materials must be handled according to PMI’s records-management and data-protection standards.

PMI Conflict of Interest Policy

Volunteers are expected to act in PMI’s best interests and avoid situations where personal, professional, or financial interests could influence—or appear to influence—their volunteer decisions. Any potential conflicts must be promptly disclosed to the chapter leadership so they can be reviewed and managed appropriately.

General Volunteer Expectations

As a volunteer for PMICIC, I agree that I:

  • Will maintain active membership in good standing with both PMI and PMICIC throughout my volunteer service, unless an exception is granted. I understand that such exceptions are temporary and subject to governance policies during the period of service.
  • Will abide by PMICIC governance policies and procedures, including the PMI Code of Ethics, Confidentiality Policy, Leadership Policy, and Volunteer Records Management Policy. These full policies are available for my review here: https://www.pmi.org/about/leadership-governance/documents
  • Will use PMICIC-designated tools and document repositories for chapter-related business, with reasonable access and support provided by PMICIC.
  • Will inform the Program Director of Volunteers if I have previously been terminated or asked to resign from a previous volunteer position at PMICIC. The PMICIC Board of Directors reserves the right to review the circumstances of the prior separation, including the nature, severity, and timing of the issue, and determine eligibility for future service.
  • Will provide at least two (2) weeks' notice, when possible, if I need to step down from my volunteer role.
Waiver & Release of Liability

As a volunteer, I understand that I am participating in PMICIC activities on a voluntary, unpaid basis. I acknowledge that certain risks may arise during events or chapter activities. I agree to assume personal responsibility for my safety during such activities.

To the fullest extent allowed by Indiana law, I hereby release PMICIC from liability for ordinary negligence related to personal injury or property damage that may occur during volunteer activities.

However, this waiver does not apply to:

  • Gross negligence
  • Reckless or intentional misconduct
  • Violations of law
  • Claims protected by public policy

I understand that PMICIC does not provide health or disability insurance for volunteers. In the event of an emergency, I authorize basic first-aid or medical care and release PMICIC from liability for care rendered, except in cases of gross negligence.

Name & Likeness Release

I grant PMICIC permission to use my name, photograph, and likeness for internal and external communications related to PMICIC events and programs in which I participate. This may include promotional materials, newsletters, social media, or the PMICIC website.

This consent is non-exclusive, royalty-free, and revocable upon written request. Upon revocation, PMICIC will cease future use of my likeness but may retain previously produced materials.

Termination Policy

This agreement remains in effect for the duration of my volunteer service with PMICIC.

Either PMICIC or I may terminate this agreement at any time, for any reason, by providing written or verbal notice. I will make reasonable efforts to give two weeks’ notice if possible, and PMICIC will do the same when feasible.

PMICIC reserves the right to immediately terminate a volunteer relationship for cause, including violations of this agreement or conduct detrimental to the organization. Volunteers agree to support an orderly transition of responsibilities if their role concludes or is reassigned.
